Bulk Deleting

If you notice that your facility has grown beyond the plan that you are currently in with Gym Insight, you have several options.

  1. Talk to your sales person about the right plan for you, before you see overages on your account.
  2. Decide how you want to handle cancelled accounts - keep them as prospects, calling them to offer them a come back deal, download that report for future reference...etc.
  3. Delete the old cancelled accounts.

Here is how to delete old cancelled accounts:

First: Make sure you know which accounts you would like to delete and which you would like to save.   Do you have guest accounts that are employees, do you have cancelled accounts where the members come back every so often and renew? Please be very careful with this action as once the accounts are fully deleted, they cannot be recovered.

Download any account files you will need to retain before you begin.  This may be waivers,  account financial history, membership agreements, and contact information (email and phone numbers).      Once the account is deleted, those items can not be recovered.  


You can delete them one at a time: Follow this article for instructions on that.

Or you can bulk delete from a your cancelled accounts report.

  • Go to your Cancelled Accounts report (type cancelled accounts in your top search bar).
  • Select the date range of cancelled accounts that you would like to delete.

*Most gym owners do not delete accounts under 1 year old.

  • Then click the bulk actions button at the bottom of the report and select Delete Accounts.

  • It will ask you to put in a reason for deletion.

Please be very sure you want to do this before continuing.

Unlike deleting an individual account, you will be able to undo this action for 6 days after starting the process. When deleting an account individually, it is permanently gone as soon as you complete the action.


  • You will see a pop up on the bottom right of your screen asking if you would like to Run Now or Cancel.



Next: review the Pending Delete Report (type in Pending Delete in the top search bar).

You will see how many days are remaining until they are removed from your account.

You can also use the bulk action to UNDELETE if you feel you have made a mistake.


Remember, if you are trying to avoid overages on your account, this bulk action takes 7 days to complete, so be sure to set aside time before your billing date.
