Creating Corporate and Discounted Memberships

This article will walk you through creating an account for your Corporate Account Memberships.

Expand your gym’s reach and build recurring revenue through corporate membership programs.

What is a corporate gym membership?

A corporate membership program allows a business to partner with your gym and offer its employees discounted or subsidized memberships.

For example:

The Company → 50 employees → Your Gym

Businesses could offer employees a special membership rate, while your gym gains access to an entire group of potential members.

Corporate Account Memberships are also great for businesses. A corporate wellness plan isn't just a perk—it's a high-return investment.

Partnering with your gym helps the company:

  • Boost Engagement & Morale: Fitness initiatives build team energy and workplace satisfaction.
  • Drive Long-Term Health: Active employees build healthier habits, leading to lower absenteeism.
  • Strengthen Retention: Premium wellness benefits help attract and keep top talent.

Keep in mind to protect your pricing if you are offering these memberships.

Don't rush to race to the bottom on price. Corporate memberships aren't about giving huge discounts—they're about opening high-value channels to reach members who otherwise wouldn't step through your doors.

Even a small 10–20% perk creates a win-win if the employer moves the needle on total sign-ups.

Why This Matters

Moving from selling to individual consumers to partnering with entire organizations expands your gym’s reach. It builds recurring revenue, drives word-of-mouth referrals, and solidifies your brand within the local business community.

Have a local business that wants to offer their employees a special membership rate? Or maybe the company wants to pay for the memberships entirely as an employee benefit?

Gym Insight makes it easy to set up either option!

Who is paying for the membership?

Company paid fully?  -  Set up the corporate member.

Member pays but receives a discounted rate? -  Set up a discounted membership.

To set up a discounted membership:

Members (Employees of that company) are responsible for their own payments and have their card on file for incidental charges:

You will create a Membership specifically for that company and the employees will sign up for that membership.

Click the Home Menu and select Memberships.

Click the blue plus in the bottom right corner and fill in the details of the membership.

These details are based on the arrangement you have with the company.

Now when an employee from that company wants to use your facility, you will sign them up for that company’s membership that you created. You will add their information and you will be able to save their payment information.

To set up a  company paid option (where the company pays you via issuing you a company check to deposit to your bank separately or Gym Insight can bill a company card on file)

You will be creating a Corporate Member.

  • Create a New Account and name it using the company’s name to find it easier.

Ex: First Name: CompanyName  Last Name: Corp

Use whatever name would be most helpful for you to recognize.

  • Change the Account Billing to Custom.
    • If the company is paying a preset amount every month, select Open End or Term and set the rate and bill date.
    • If the company is paying per member and that can fluctuate, Select Prepaid. Enter the amount as $0.  Enter the end date 10-15 years out.  You will manually create a monthly invoice.
    • These details are based on the arrangement you have with the company.
  • If there is a billing/HR contact person, fill in their email address.
  • Uncheck the box “Assign a digital key”. The company will not have a key, only the members will.

Click here to learn how to create a tag.

It is helpful to create a tag for these members.

Adding a tag to the member’s account will make it easy for you to  access reports filtered by tags to monitor attendance and export data to Excel for invoicing.

Click the Options tab at the top and select where you are selling this membership.

Click on the description tab at the top and enter a description of this membership to help you recognize it.

Click SAVE in the bottom left corner.

Now when an employee from that company wants to use your facility, you will add them as a member to that corporate account you just created.

Here is how to do that.

In the Corporate Account click Add Member.

Enter Member’s information and check the box to assign a digital keytag.

Click the green Add Member button at the bottom.

Click back to account once the member has been created.

When you are ready to invoice out the Company Paid membership:

Click Add Sale

This is where you will apply the membership counts and click the green Pay button at the bottom.

Click “Add to Balance” to create the invoice on the account.

Once you’ve added that to the invoice you can add notes to the invoice. (Like # of members, names)

Just click Actions in the bottom right corner and select “Add Invoice Note”.

Now you have the invoice created and it is ready for the Company to pay.

Click the green Pay Invoice button.

You can select check if you receive a corporate check or if they are paying with a corporate card, save that on file.
